Mass Change of Assign To/Perform For

    Within X4, users have the ability to update records in bulk on any table they have access and permissions to within eMaint. For this example, we discuss the unique option of updating the Assign To and or Perform For of a Work Order or PM. Since the Assign to or Perform For fields are dependent on the associated Type field, you will need to recreate the scenario as it is seen on the Work Order or PM form.

     

    Below are the steps on how to use this feature.

     

    Select all the records in the list view of a table that you want to mass change the Assign To.

     

    Next, hover over options on the menu bar, and select Mass Change Values.

     

    Once the dialog box for Mass Change appears, you will first need to select the Assign To Type Field: and then click on the ADD button.

     

     

     

    Because the Assign To field is dependent on the Assign To Type field as it is on the standard form, we recreate the scenario. By doing so, you see that if no option is chosen for the Assign To Type, we get no results on the list view. This is the reason both fields are required when mass changing the Assign to or Perform For.

     

     

    Since no Value was chosen in the Assign To Type field, this is the result.

     

    Once an Assign To Type has been chosen, we get the results we are looking for.

     

    We are now able to choose a new Assign To person for all records selected and then process the change.

     

    EXAMPLE

     

    Currently Assigned to Tom Jefferson

     

    Create Mass Change Scenario to reassign to Kevin Bacon and Process.

     

    All selected records have now been reassigned to Kevin Bacon.

     

    NOTE: This applies to the Perform For field as well, and therefore will nee to be processed the same way.
