1.1 - ManagingColumnsonListView
In this interface it is very easy to add columns to your list view.
Click the
icon at the top right-hand corner of the screen.
Once you see the “Select Grid Columns” window, hit the plus sign next to the field you would like to add to your list view, then click “Apply Changes” when you are done. To remove a field from the list view, hit the minus sign next to that field (on the right side of the window).

To move a column on the list, simply grab the columns header, drag it to where you want it to be, then drop it there.

To resize columns all you need to do is put your mouse pointer at the end line of the column header and drag it to the right if you want to make it bigger and to the left if you want to make it smaller.

2 - SortingRecordsontheListview
Now you also have the ability to sort by more than one field at the same time. To do so, click the
icon, then on the popup window click the plus sign to add the fields that you would like to use on the sort. Notice on the example below that we are first sorting by WO Type and then by WO Date.

NOTE: On the popup window, next to each field you chose for you sort, there’s a little arrow icon that will allow you switch the sort from ascending to descending and vice versa. Below is the result of the sort demonstrated on the previous image:

NOTE: You can also setup multiple filters just by clicking at the column headers.
3 - FilteringforRecordsontheListview
Filtering for records in X4 is a lot easier. At the top of each column you have a search field. Next to each search field, you have a funnel icon that will allow you to select an “Operator” to go with the value you are looking for (equal to, contains, ends with, etc).
You will also notice that after entering values on the search fields, there’s no need for clicking enter. The system will automatically apply the filter when you click anywhere outside the search field you just used.
By default, the operator for every search field is “Starts with”. In the example below you will see a demonstration of finding all assets that contain the word “Tank” in it’s description. When first typing that word, the listview went blank because there were no records starting with “Tank”. Then, after clicking the funnel icon and selecting “Contains” as the operator, records were displayed on the list.

NOTE: When searching on the listview, values are not case sensitive.
To clear your filter, you can click the “CLEAR FILTER” icon at the top right of the list.

4 - SavingFilters
In X4 you have the ability to create and store different filters. When creating a filter you will have the option to make it public (Global) or private (Mine). Once your filter has been created you will always be able to select it when searching for records in the list view.
Most likely there’s a combination of filter fields you often need to use when searching for specific records in the listview. Now, instead of having to setup those common filters repeated times, you can just save them. To do so, input the values in the search fields to find the records you are looking for, then click the
icon at the top right-hand corner of the screen, select “Save Filter”, then name your filter accordingly. Decide whether this filter will be private or public, then save it.

After saving a filter, you will be able to select it in two places:
1 - Clicking the Plus sign next to the System Tab for which you created the filter, then drilling down through the options until you find the filter in it’s category (My Filters or Global); or
2 - Under the funnel icon at the the top right hand corner of the screen, there’s a dropdown field where you will be able to select which filter you would like to apply.

4.1 - SavingFilterasaReport
Filters can also be saved as Reports, so you can access them from the Report Module, which will also allow you to have it published on your Dashboard. To do so, setup your filters, then hover over the “Filter” icon and click on “Save as Report”.

5 - AdvancedFilters
The list view filtering in X4 has been enhanced to filter in a similar fashion as the report writer within eMaint. This gives users the capability to filter by more than one value on a field using OR statements.
To create an advanced filter:

2 - Click the Funnel icon for ManageFilters and choose the ModifySelectedFilter option.
3 - Within the filtering section, users can choose a field, filter type, and value to be filtered by.

5.1 - CreatingAdvancedFilters
To create advanced filters you will first need to understand the difference between the “Add rule” and “Add group” options.
Addrule - Adds a new filter row. If, for example, your filter is already set to show you only open WOs (Open/History is equals to O), but in addition to that you also want to see only Corrective Work Orders, you can click the “Add rule”, then once you get the new row you can select the “WO Type” field and set it up accordingly.

NOTE: Make sure to click “Apply Filter” when you are done.
Addgroup - Allows you to create an additional group filter (within your main filter), where you can filter by the same field more than once. If, for example, you want to see only CORRECTIVE or PM Work Orders, you would click the “Add Group” then setup the first filter row as WOTypeequalstoCORRECTIVE. You would then click the “Add rule” button (within this group) and setup the second filter row asWOTypeequalsPM.
IMPORTANTNOTE: When using the “Add group” Option make sure to click the OR statement/button, before applying the filter.
