eMaint X4 allows the account administrator to setup permanent filters for users in their account, which will assure that they are only able to see (on list views) relevant records for their role within your organization.
Common examples are:
You want users to only see WOs that are assigned to them.
You want users to only see WOs and Assets from their respective building or department.
You want users to only be able to see Assets that are available for service, etc.
In the example below we will demonstrate how the account administrator can setup a permanent filter that will assure “Kevin Technician” can only see WOs assigned to him. To do so, follow the steps below:


This will display a popup window, where you will see a list of all “Available Users” in your account. Click the “Plus” sign next to the user for which this filter applies, then once that username displays under “Selected Users” hit “Apply Changes” at the bottom.

You are now done with Kevin and can repeat the process for other users when/if needed.
When Kevin logs in to his account, this is what he WO list will look like. He can only see WOs that are assigned to him.

NOTE: IF YOU ARE PLANNING ON USING THIS FEATURE WE ALSO SUGGEST YOU ACTIVATE THE GLOBAL SETTING THAT WILL ONLY ALLOW USERS TO MOVE TO OTHER RECORDS WITHIN THEIR FILTERED LIST WHEN USING THE “PREVIOUS” (<<) AND “NEXT” (>>) BUTTONS ON THE DETAIL VIEW OF A RECORD. X4 is equipped with new functionality that allows you to go to previous or next records (using >> and << buttons on data record itself) according to how the table was set up last by the user. That means any table filter or table sort applied would be evaluated when the system decides of which record is considered to be next or prior the current one. This function also works if table is filtered for selectedrecordsonly or recentitemsonly or starreditemsonlyalong with any other custom filter/sort applied.
To demonstrate how it works, we will use the example below where we first select Work Order #338. Once looking at the detail view of that record, we will click the forward icon, which will take us to WO #399 because that’s the next one in the filtered list (Emergency WOs).

If you are the Account administrator and would like to take advantage of this feature, you will need to activate it in the global settings first. To do so, you will first need to navigate to AccountSettings.
