Sign On/Sign Off Wizard

    The Sign-On/Sign-Off wizard is a tool that can be utilized to sign in and out of work orders. After signing in, the clock starts and captures the time the work began. Signing off captures the end time, allowing for creation of an accurate labor charge on the work order form. It is important to know how to access and configure this tool in order to utilize it as necessary. The Sign-On/Sign-Off wizard is a widget that is available within the Dashboards in eMaint X4.

     

    PleaseNote: Dashboards are not available to request-only and mobile only users.

     

     

    AccessingandConfiguringtheSign-On/Sign-OffWizard

    Navigate to the dashboard by clicking into the dashboard that should house the widget, and hover over the Dashboard description. This reveals a dropdown that allows for selecting the add widget screen.

     

     

    After clicking the Add Widget option in the drop down, the AddWidget selection screen will appear. There is a drop down under the Available Widgets side that allows for selecting a report or a miscellaneous widget to apply to this dashboard. Click Miscellaneous which will reveal all of the miscellaneous widget options.

     

     

    Selecting Sign-On/Sign-OffWizard will reveal the selections to configure the widget under the Selected Widget side of the screen.

     

     

    WidgetProperties

    1 - HeaderTitle - This is the header that will appear on the saved widget, which defaults to Sign-On/Sign-Off Wizard

    2 - WidgetWidth - Defaults to 400 and changes when clicking and dragging the widget across the dashboard

    3 - WidgetHeight - Defaults to 400 and changes when clicking and dragging the widget across the dashboard

    SignOnProperties

    5 - AssociatedContact - Clicking the magnifying glass next to this field allows for a list lookup of the Contact table, enabling selection of a Contact record to associate with this particular Sign-In/Sign-Off Wizard widget

     

    5 - Automaticcontactassignmentfromlogin - Checking this box overrides the “Associated Contact” field by assigning the contact as the individual who is currently logged into the system. This would generally require access to a public dashboard that can be viewed by any user in the system.

    6 - AssignmentValidation - This selection determines which work orders will appear for the individual who is signing in and out of work orders using the Sign-In/Sign-Off wizard. There are four options (None, Assignedto, AssignmentTable, Both) when clicking the dropdown:

    None- Will not reference work order assignments using the Assign To field or the Assignments Related table, and shows all work orders for selection
    Assignedto- Only allows the individual signing on/off to see work orders in which his/her name is listed under the Assign To field on the work order
    AssignmentTable - Only allows the individual signing on/off to see work orders in which he/she is listed as an assignment in the Assignments related table
    Both - Uses the Assign To field and Assignments related table to determine what work orders that will be seen by the individual signing in/out to create the labor charge

    7 - OverrideCalculatedTime - Allows for overriding the Qty field that displays the amount of time calculated from the Start Time and Stop Time

    8 - WorkOrderInformation - Clicking ManageFieldstoDisplay allows for selection of fields from the Work Order form to appear on this widget. Once fields are selected, the field name appears box at the end of the Sign On Properties.

     

     

    Once all of the information is filled in to configure the Dashboard widget, click the ApplyChanges button at the bottom of the screen.


     

     

    UtilizingtheSign-On/SignOffWizard

    Once the Sign-On/Sign-Off Wizard has been configured and changes have been applied, it will appear on the dashboard. Clicking the name of the contact associated with the wizard will reveal a search box.

     

     

    Clicking the magnifying glass opens a list lookup with the work orders that can be seen based on the configuration of the Sign-On/Sign-Off wizard (from the AssignmentValidation). Click on the check box next to the work order to sign into and then select ApplyChanges which will load that particular work order into the Sign-On/Sign-Off Wizard displaying the fields that were selected to display under the WorkOrderInformation area of the Sign On Properties.

     

     

    Once the work order is loaded into the search box, the green Availableimage changes to a SignOn button, where the individual signing into the work order can click to sign into that work order.

     

     

    A - SignOnButton - Clicking the sign on button captures the start time (the time the user hit the button

    B - Signedonindication - After clicking the Sign On button, the work order represented on the Sign-On/Sign-Off wizard turns red, and the gear icon (left side of the WO Description) starts spinning to show that someone is signed in. Additionally the clock (right side of the WO Description) will show how much time has accrued since first signing into the work order.

    C - Gear Icon - Clicking the gear icon will reveal additional selections: Comment, Status, SignOff, and Cancel

    Comment - Allows addition of a comment or comments pertaining specifically to the labor charge that is created from this sign on

    Status - Enables modification of the Job Status field on the Work Order


    SignOff - Brings up a message asking if the user is sure that he or she would like to proceed with signing off of that work order.
    This initiates adding the labor charge.
     

     

    Cancel- Brings up a message asking if the user is sure that the or she would like to cancel the sign on and lose time accrued.
    If this is selected, a labor charge is not created.

    D- Clockicon - Clicking the click icon will reveal the fields from the work order selected to display under the WorkOrderInformation
    area of the Sign On Properties


     

     

    SigningOffofaWorkOrder

    As mentioned, clicking the Gear Icon and then the “Sign Off” button will allow for signing off of a work order and creating a labor charge. After being asked “Are you sure you want to sign off work order ?” clicking Proceed reveals the Labor Charge screen. The Quantity will fill in based on the start and stop time, and the comment added into the Sign-On/Sign-Off wizard will pull into the comment field on the labor charge form.

     

     

    Once no longer signed into the work order, a check box appears. When clicked, this check box reveals two options: CloseOut and Hide. The close out button brings up the Work Order closeout screen enabling close out (Note: The user can only close the work order if he or she has permissions to Work Order Closeout). The Hide button will hide that work order from the Sign-On/Sign-Off wizard.

     

     

    Finally, navigating to the Work Order Charges related table on the work order will show you the charge that was created from using the Sign-On/Sign-Off wizard.
