Interactive Plans

    With eMaint X4 comes the option to utilize a map or floor plan of a facility, and identifying the locations of assets by creating different pins that represent those assets. Once the map is set up properly, users are able to click on location to which the asset is pinned in order to open the Asset ID. Additionally, the Asset ID field on the work order form can use this map as a lookup for record selection on other tables (such as selecting an asset on a work order or work request form).

     

    This feature is not available for customers at the “Team” account level. For more information on eMaint CMMS plans (service levels), you can contact your Customer Success Manager or email services@emaint.com.     UploadingtoDocumentStorage

    The first step in successfully adding a map into the system is uploading it into internal Document Storage within your eMaint account. The image needs to be pulled from Document Storage in order to display elsewhere within the system. To do so, select “My Shortcuts” > Document Storage > Upload. From here, you can browse through the images stored on your local computer or simply click and drag into the Document Storage interface.

     

     

     

    After the image of your map is loaded, you will see that the file has been added into Document Storage. For more detailed documentation on eMaint Document Storage, type Document Storage into the search box located on the eMaint Community Knowledge Base.

     

     

    In order to return to eMaint X4 from Document Storage, click the eMaint Logo at the top left hand side of the screen.

     

     

     

     

    Pleasenote: Upon loading the first map, the Interactive Plans feature directs you to document storage. Once the three dotted button has been clicked under the “Mapping Image” field you can click and drag your image or upload it into document storage without accessing from the shortcuts menu as noted above.

     

     

     

    AddingtheFirstMap

    Once the image of your map is loaded into Document Storage, then you are ready to add the Plan into eMaint. After navigating back to X4, click on the “Interactive Maps” table on Table Menu (which may be positioned on the top or the left hand side of your screen). Upon clicking “Interactive Plans” for the first time, the Create New Interactive Map window will appear, enabling you to enter a name and associate the map with particular records from a table or multiple tables.

     

     

     

    Step 1: Create the Plan Name - This plan name is what will appear under the Interactive Maps table, which can be selected in order to return back to this map

     

    Step 2: Select a table or tables - The tables list allows for typing in a table name (i.e. Assets, Contacts, Inventory) in order to select the table from which records will be pulled. Begin typing into the list to reveal the selections, and repeat the same action after clicking into the blank space under the tables list when searching for an additional table.

     

     

    Important note: Hitting the x next to a selected table enables removal of that particular table

     

     

    Step 3: Select three dotted button under the Mapping Image field to select the image that you uploaded into document storage.

     

     

    When Document Storage is open and you are selecting the uploaded image, please note that you must hover over the Document Storage record in order to reveal the selections. The first icon on the left with an image of mountains will enable to embed the image and immediately view it on the Create Maps screen.

     

     

     

    After selecting the appropriate image to use for your map, select Proceedso that your map is loaded. At this point, the mapping points can be added to the necessary locations.

     

     

    AddingAdditionalMaps

    After adding the interactive first map, any additional map will be added a bit differently. (1) Clicking on any existing map will open that map, (2) then hovering over the “Actions” option located on the top right of the screen in the bar above the map will reveal a “Create New Interactive Map” selection. (3) Upon clicking this button, (4) the Create New Interactive Map window will appear.

    Now, the image has been loaded into eMaint and the tables have been connected to the new Interactive Map, the mapping points can be added in order to associate records with areas of the map for enhanced record visualization and navigation.

     

    First, click the map which will now appear as a selection under “Interactive Maps” within the Table Menu. The map that was loaded into eMaint will appear. The Actions option reveals different actions that can be performed on this particular map. Also, the top right hand corner displays a plus sign and a minus sign, which allow for zooming in and out of the map.

     

     

    1. CreateNewInteractiveMap- As previously discussed in this document, this allows for creation of an additional map

    2. EditMapDetails- Enables modification of the map name and the tables associated in case anything should be changed from the way the map was originally set up

    3. DeleteMap - Deletes the map and removes it from the Interactive Maps list on the Table Menu

    4. EditMappingPoints - Reveals options that enable adding or modification of the pointers that reference records from associated tables

    5. Plus & MinusSign - Allows zooming and out of the map, which can be also done by scrolling with a computer mouse

     

    Hovering over Actions and click “Edit Mapping Points” which will bring up options for creating or modifying the pointers, which include SaveMap, Cancel & Revert,ShowPointProperties, and AddNewMappingPoint.

    In order to add a new mapping point and determine its placement on the map, select the AddNewMappingPoint button as shown below.

     

     

    Clicking the Add New Mapping Point button will then reveal the Mapping Point Properties window. How these fields are filled in will determine how the pointer will behave, and how it will look as a pin on the Interactive Map.

     

     

     

    1. LinkedTable- Upon initially creating the map, there is an option to link multiple table records to pull different types of records into the same map. This field allows selection of what type of record we will want this pin or pointer to represent.

    2. LinkedRecord - Clicking the magnifying glass next to linked record brings up the list view for the table for which you are adding the map. This allows you to select the record that will become your pin on this particular map.

    3. PointerType - Clicking this dropdown reveals a variety of different pointer styles that can be used in order to better highlight the assets placed on the map. This defaults to “Green Pin” but can be modified.

    4. XCoordinate (%) - Allows you to select the coordinate on the X axis where the pin should be placed. If you do not know the coordinates, you are able to click and drag once the pin has been placed on the screen.

    5. YCoordinate (%) - Allows you to select the coordinate on the Y axis where the pin should be placed. If you do not know the coordinates, you are able to click and drag once the pin has been placed on the screen.

    6. ContentsPosition - Clicking this drop down enables selection of how window to preview the record behaves. The options are PopUpPreview, OpenRecord, and SideBarPreview

    The contents positions can be selected on a pointer by pointer basis, so different pointers can behave differently on the same map depending on user preference.

    • PopUpPreview - Opens a brief preview of the record on top of the interactive map, enabling continued interaction with other areas of the system if needed.

    • OpenRecord - Opens the record up in a separate window on top of you eMaint screen. The record can be modified from this window, but in order to interact with the rest of the system the window must be exited.

    • SideBarPreview - Opens the record up on the right hand side of the screen, enabling continued interaction with other areas of the system if needed.

     

    Once the desired properties have been selected, click Proceed. The new pin will show up on the map, and clicking and dragging will allow for placement modification. Once the correct placement has been selected, selecting SaveMap will enable you to save the new mapping point. Cancel & Revert will allow you to go back to your map without adding the new mapping point. ShowPointProperties will enables modification or deletion of the mapping point.

     

     

     

    NavigatingthroughtheMap

    Once your mapping point(s) is (are) added, clicking on top of the point will reveal the a preview of the record in the Contents Position that was selected when adding the it to the map. This will reveal the key field (otherwise known as unique identifier or ID).

     

     

    This identifier links directly to the full record, so clicking on the hyperlink will reveal even more detail.

     

     

     

     

    IncludingInteractiveMapsasLookups

     

    There is additional functionality that allows us to pull up the map when looking up information from another table. When creating a map, the “Available for lookup lists?” box must be checked for this to work properly.

     

     

     

     

     

    The field that is being used for the lookup must be modified on the appropriate form. In this example, we will modify the Asset ID field on the Work Order form to use the Plant Map that was created as a lookup tool. First, go to “My Shortcuts” then Manage Forms, Select the form to be modified, and hit Edit.

     

     

    After clicking the wrench and screwdriver icon next to the field in question, the Lookup Properties tab will reveal how that lookup is currently set. Looking up from maps works exclusively on List Lookups. If the table is associated with a map, the option “Look up from interactive maps” will appear. To use a map as lookup, this box needs to be checked off

     

     

    The field on this form will now have an image of a pin next to the magnifying glass. Selecting this pin will allow for finding the record that needs to be added to this field from the interactive map.

     

     

    Finally, clicking the pointer on the map will reveal the ID of the particular record that the pointer represents. At this point, click on the link to select the record to the field from the map lookup.
