X4 - WO Requester Settings & Columns Manager

    1 - Requester Settings (Account Settings) - Administrator Only

     

    In the Requester Settings (within the Account Settings), the Administrator will be able to define not only the level of access Requesters have, but will also be able to modify or replace the training document that displays by default on all Requester accounts. Note that the preferences selected here will be applied to all Requesters within your account.

     

    To access this area of the system, click your username at the top lefthand corner of the screen, then click on “Account Settings”.

     

     

    Then click the “Requester Settings” option at the bottom of the list.

     


     

    Below you will find an explanation for all the settings on this screen.

     

     

    Requester Settings

    Use X4 User Interface When Requester Logs In - This setting is only off, by default, for customers that are still using the X3 interface. Turning this setting on will permanently switch all Requester user accounts to X4.

     

    Access individual records? - Turning this option on, will turn “Request numbers” and “Work Order numbers” into hyperlinks, allowing your requesters to access request records, as well as WO records that resulted from their approved requests.

     

    Access requests from all users? - When off, requesters will only be able to see the requests they have submitted. Activating this option will allow a requester to view Requests submitted by other requesters.

     

    Message to display - This is a text field where you can add a message to display at the top of the requester main screen (right below the system tabs).

     

    HTML Help - This is a multi-text field that, by default, contains a document explaining how to navigate and use the WO Request Interface. In this area you can either modify this document or replace it.

     

     

     

    Accessibility Settings (Requester Tabs)

    My Open Requests - This option will give Requesters the ability to view/ filter Work Order requests after they are submitted.

     

    My Rejected Requests - This option will give Requesters the ability to view/ filter WO Requests that have been rejected.

     

    My Request History - This option will give Requesters the ability to view/ filter Work Orders that resulted from approved requests.

     

    Reports - This option will give Requesters the ability to run reports that were made available for them by the account administrator (or by standard users).

     

     

    2 - Columns Manager

     

    Each requester tab displays a list of records. These lists allow requesters to view and filter records by the columns that were made available for them. While requesters do not have the option to add or remove columns, this option is available for the administrator and/or other standard users with access to the Column Manager feature.

     

     

    In order to manage the columns that are displayed for your requesters, you will need to:

    • A - Hover over Main Menu

    • B - Click on the Column Manager Icon

    • C - Add the field (s) you would like requesters to see (Note that in this screen you can also remove and/or rearrange fields).

    • Hit Apply changes when you are done.

     

     

     

    In this example we added the “Add time” field to the “My Open Requests” screen, making this field available for all requesters within your account.

     

     

    The process to manage columns is the same for all four requester tabs. Once, you are done making changes to the first tab, you can do the same for the other three tabs within the Request Center.
